The Position

A member of the broader admission team reporting to the Director of Enrollment Management, the Admission Office Administrative Assistant provides database management and maintenance, executes administrative duties, and performs tasks in support of admission and student enrollment processes. The Admission Office Administrative Assistant is an effective collaborator and a detailed-oriented, adaptable, and forward-thinking professional. They work closely and collaboratively with the admissions office, maintain and utilize school databases, and provide reliable administrative support for a wide variety of tasks. They also help ensure a positive experience for prospective families in the application and admission process. This is a 12-month position.

About You

The ideal candidate will possess the capacity to meet all key duties for the Admission Office Administrative Assistant:

  • Oversee all aspects of the school and department's relevant databases, including the creation of reports
  • Manage email and phone inquiries from prospective families.
  • Serve as an internal resource for the team's database needs and questions
  • Oversee the review & production of decision letters, packets & other correspondence
  • Support proofing and editing of publications and materials (the application, flyers, invites, etc.)
  • Receive visitors and coordinate tours
  • Assist with preparation for open houses, play groups, receptions, and related functions
  • Manage the calendar of the Director of Admission
  • Collaborate with Director of Financial Aid on projects related to family data and financial aid


The ideal candidate will have had previous involvement in database management and possess strong people and organizational skills. They will have experience succeeding in a busy office environment, and with a wide range of software and applications (including Microsoft Office, the Google Suite of applications, and others). Previous experience working in an independent school admissions office, and with school-based databases will be viewed favorably.
